Policy Overview #
The purpose of this policy is to set out our approach to promoting regular attendance and managing absences at The Norfolk Childcare Company LTD. Consistent attendance supports children’s learning, development, and wellbeing, while helping them to establish good routines for later life.
This policy ensures compliance with the Statutory Framework for the Early Years Foundation Stage (EYFS) and aligns with safeguarding duties under the Children Act 2004.
The intention of this Policy is to:
- Safeguard children by ensuring their whereabouts are always accounted for.
- Provide clear guidance for parents and carers on reporting absences.
- Support staff in monitoring attendance and responding to concerns.
- Promote the importance of punctual and regular attendance to maximise each child’s opportunities.
Who is this Policy Aimed at? #
This policy applies to all children enrolled at The Norfolk Childcare Company LTD, their parents/carers, and staff responsible for monitoring attendance.

Fundamental Principles of Attendance #
- Regular and punctual attendance is essential for children’s development and wellbeing.
- Parents and carers are responsible for notifying the nursery of any absence by thier start time on the first day and for each day of continued absence.
- Attendance records form part of our safeguarding duty and may be shared with regulators or external agencies if required.
Procedures for Reporting Absence #
Parents/carers are expected to notify the nursery of their child’s absence by telephone, email, or another agreed method.
We recognise that nursery attendance is not compulsory; therefore, each child’s attendance pattern will be considered on an individual basis. For children who attend irregularly, contact may be made less frequently than for those with established, full-time attendance, where an unexpected absence is more concerning.
If no explanation is provided within 48 hours, and we are unable to contact the child’s parents or emergency contacts, the matter may be referred to Children’s Services in line with our safeguarding responsibilities.
This procedure is designed solely to ensure the safety and wellbeing of every child in our care.
Roles and Responsibilities #
Parents/Carers
- Notify the nursery promptly of all absences.
- Work in partnership with staff to overcome barriers to regular attendance.
Staff
- Log children’s attendance via family
- Follow up unexplained absences with a call to parents.
- Escalate concerns to the Nursery Manager.
Nursery Manager
- Monitor attendance patterns across the setting.
- Meet with families where absence is persistent.
- Contact Children’s Services where safeguarding concerns arise.
Punctuality and Session Times #
Late arrivals disrupt children’s routines and learning. Parents are expected to ensure children arrive on time to take part in key activities such as registration and circle time.
